As we aim to become the region's leading and most trusted real estate partners, specializing in luxury estates and new development property sales, we are seeking an exceptional individual to join us as an Executive Sales Assistant. In this dynamic role, you will spend half of your time providing executive support to our CEO and the other half coordinating showings and managing appointments, representing the companies’ interests, and ensuring the smooth operation of our listings from pre-launch to closing, supporting our sales team.

Responsibilities:

• Act as the Executive Assistant to our CEO, managing their calendar and daily schedule, providing assistance to the Director of Operations as needed.

• Provide sophisticated inbox management on behalf of the CEO, prioritizing inquiries, troubleshooting conflicts; make judgements and recommendations to ensure professionalism and smooth day-to-day engagements.

• Perform various administrative tasks that facilitate the CEO’s ability to effectively lead the organization, including assisting with special projects, compiling sales data, sending market updates to clients, drafting contracts and amendments, obtaining electronic signatures, filing contracts and documents digitally, and coordinating the weekly open house schedule.

• Work closely with the CEO to ensure they are well-informed of upcoming commitments and responsibilities, and proactively anticipate their needs for meetings, conferences, and other engagements.

• Schedule important milestones related to listings, including photography sessions, sign installations, and other necessary tasks.

• Coordinate and attend property showings, inspections, and site visits with third-party vendors.

• Ensure weekly open houses are set up for success, including assignment, confirming dates with sellers, obtaining and providing feedback, creating open house flyer packets and preparing the open house signs with designated address labels.

This role reports to the CEO and Director of Operations.

Qualifications:

• Minimum of 3 years of executive administrative experience or a similar role in a fast-paced startup environment.

• Real estate or sales industry experience is preferred.

• Highly organized, analytical, and detail oriented.

• Excellent written and verbal communication skills.

• Proficiency in G-Suite and Microsoft Office, with the ability to quickly adapt to new tools.

• Experience managing vendors and third-party providers.

• Must possess reliable transportation and valid insurance.

• Must have valid real estates license or be willing to obtain it independently within first 2 months from start date.

Job Type: Full-Time M-F, occasional weekends as needed. Onsite. Must live in Los Angeles County. Main office is located in Beverly Hills. Occasional travel to job sites may be required.

Must have a valid driver’s license, insurance, and reliable transportation. We are unable to provide visa sponsorship at this time.
